Thank you for your interest in supporting QCH! Here are a list of ideal venue requirements. If the venue doesn’t have these, don’t worry, we can look into workarounds!
Physical Requirements
Space Requirements
- Size: We are expecting around 80-100 participants this year. Last year, we managed to host the entire event in one room with a 100-person occupancy limit accommodating 45 participants. Therefore, we require a space that can comfortably accommodate our target number of attendees.
- Purpose: The space should be suitable for various activities such as speaking engagements, demonstrations, and tabling. For tabling, we would prefer to have at least one seat per person and tables that can accommodate groups of up to 4.
Access to Space
- We are planning to have a 24-hour continuous event where students can come and stay overnight. Therefore, we would require access to the venue throughout the duration of the event, including overnight.
- If this is not possible, please let us know and we can discuss an alternative.
Audio-Visual Requirements
- Visual Needs: We would like at least one large display/projector for the opening ceremony and workshops. Additionally, if there are additional TVs/displays available, it would be greatly appreciated.
- Audio: If the space is small enough for participants to hear us without additional audio support, we will not require audio equipment. However, if audio is necessary for announcements and speakers, we will need access to audio equipment and a microphone. If this is not available, we can look into acquiring this independently!
Technical Requirements
Power
- Sufficient amperage should be available to support the charging of computers, phones, and hardware devices (assuming at least 2 devices per participant).
Wifi
- The WiFi should be able to support a large number of people in a condensed space, with the capacity to handle at least 2 devices per attendee.
- Intra-subnet communications on most ports
- Website Access
- Hackers oftentimes need to access multiple websites and applications in order to develop their projects.
- repl.it
- Google Drive, Google Docs
- Dropbox
- Facebook / Instagram
- GitHub
- Devpost
- Slack
- StackOverflow
- Event registration websites (Ti.to, Eventbrite, etc)
- Quora
- Medium
- Youtube
- Documentation websites for major coding languages (python, swift, java, php, C, C#, javascript, ruby)
- Sites where hackers download popular IDEs from (Eclipse, Microsoft Visual Studio, NetBeans, IntelliJ IDEA, Atom, Xcode, Android Studio)
Space Donation and Benefits
- We are a 501(c)3 organization operated entirely by high-schoolers and are seeking a donated space for our event. In exchange, we are willing to provide benefits such as featuring your name and brand on our website and swag. We would also like to offer you the opportunity to distribute information about the college to our participants, give a small talk on the college, and distribute merchandise.
Thank you for considering hosting our event. We look forward to discussing the possibilities further and making this event a success!
Best Regards,
Ayush Paul
